The Role
We’re looking for a Bilingual (French/English) Receptionist / Office Administrator who enjoys staying organized, helping people, and keeping an office running smoothly.
In this role, you’re much more than a receptionist, you’re the heartbeat of the office. You’ll be the first impression for clients and a key support for the entire team. If you’re detail‑oriented, calm under pressure, and good at juggling multiple priorities, you’ll thrive here.
What You’ll Be Doing
Client Service & Front Desk
Greet clients in person and on the phone with professionalism and warmth
Answer questions or direct clients to the right team member efficiently
Provide basic guidance on policies, coverage, and next steps
Build respectful, positive relationships with clients
Ensure client interactions are documented accurately and confidentially
Communication & Call Management
Answer and manage incoming calls: screen, redirect, and take clear messages
Ensure timely follow‑up and message distribution across the team
Office & Administrative Support
Support daily office operations, including non‑payment follow‑ups and message tracking
Handle bank deposits and payments with accuracy
Process incoming and outgoing mail, packages, and deliveries
Assist sales and service teams so they can stay focused on clients
Office Organization
Monitor office supplies and place orders as needed
Assist with document preparation, scheduling, and general coordination
Help maintain a well‑organized, professional office environment
What We’re Looking For
Minimum 2 years of experience in a receptionist or administrative role
Strong organizational skills and the ability to multitask in a busy environment
Excellent communication and interpersonal skills
Professional, friendly, and client‑focused attitude
Comfortable using Microsoft Office and office systems
Strong typing skills (minimum 40 WPM required)
Commitment to accuracy, confidentiality, and follow‑through
General Insurance License (Level 1 or 2) is an asset, not required at interview
Fully bilingual in English and French (spoken and written)
